1. Who we are
This website, thewhydot.com, is operated by Why Dot Innovation Hub (“Why Dot”, “we”, “us”). We are the data controller for the personal data described in this policy.
For any privacy question or request, email us at meet@thewhydot.com.
2. Data we collect
We only collect what we need to talk to you and to keep this website running.
- Contact form. Your name, email address, organisation (optional), the service you are interested in and the message you write to us.
- Call bookings. When you book a call through our Calendly calendar, Calendly collects your name, email address, the time you choose and any answers you give. We receive this information so we can hold the call.
- Email. If you email us directly, we receive your email address and whatever you include in your message.
- Technical data. Like most websites, our hosting provider automatically records basic server logs: IP address, browser type, the pages requested and the date and time. These logs are used for security and to keep the site working.
We do not use analytics, advertising or tracking tools on this website, and we do not build profiles about visitors.
3. How and why we use it
- To answer your enquiry and plan our work together. Legal basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us (Article 6(1)(b) and (f) GDPR).
- To schedule and hold calls. Legal basis: taking steps at your request before entering into a contract (Article 6(1)(b) GDPR).
- To protect the website and the contact form from spam and abuse. Legal basis: our legitimate interest in keeping our services secure (Article 6(1)(f) GDPR).
- To meet legal obligations, for example accounting and tax records once we work together. Legal basis: legal obligation (Article 6(1)(c) GDPR).
We will not send you newsletters or marketing emails unless you clearly ask us to.
4. Cookies and local storage
Our own pages do not set cookies. If you switch between light and dark mode, your choice is saved in your browser’s local storage so the site remembers it. That setting never leaves your device and you can clear it at any time from your browser settings.
Some features are provided by third parties:
- Calendly (on the Book a Call page) may set cookies that are necessary for the booking calendar to work. See the Calendly Privacy Notice.
- Google Fonts are loaded from Google’s servers, which means your browser sends your IP address to Google when the page loads. See the Google Privacy Policy.
5. Who we share it with
We never sell your personal data. We share it only with service providers who help us run this website and our business, and only as far as they need it:
- our web hosting provider, which stores the website and server logs;
- our email provider, which delivers contact form messages and emails;
- Calendly, which runs our booking calendar;
- Google, which serves the fonts used on this site.
We may also disclose data where the law requires it, or to establish, exercise or defend legal claims.
6. International transfers
Some of our providers, such as Calendly and Google, may process data outside the European Economic Area, including in the United States. Where this happens, the transfer is protected by appropriate safeguards, such as the European Commission’s Standard Contractual Clauses or the EU and US Data Privacy Framework.
7. How long we keep it
- Enquiries and emails: up to 24 months after our last contact, unless we start working together.
- Client records: for as long as applicable tax and accounting law requires.
- Server logs: for a short period set by our hosting provider, usually no longer than a few weeks.
When data is no longer needed, we delete it or make it anonymous.
8. Your rights
Under the General Data Protection Regulation (GDPR) you have the right to:
- access the personal data we hold about you;
- ask us to correct data that is inaccurate or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- receive your data in a portable format;
- object to processing based on our legitimate interests;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email meet@thewhydot.com. We will reply within one month. You also have the right to lodge a complaint with the data protection supervisory authority in the country where you live or work.
9. Security
This website is served over an encrypted HTTPS connection, and the contact form is protected against automated abuse. We limit access to personal data to the people who need it. No method of transmission over the internet is completely secure, but we take reasonable steps to protect your information.
10. Children
Our services are aimed at organisations and professionals. We do not knowingly collect personal data from children under 16.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
